Who is the sender? Depending on the size of your business, it could be anyone from the President or CEO, on down to someone in the mail room. Regardless of that person's position in the hierarchy of the company, being able to clearly and effectively communicate is critical to the success of the business.
The medium, or method of sending the message can be a number of things - a phone call, a note, a sales letter, a direct marketing package (either by email or regular mail), a brochure, a yellow pages ad, or an article marketed on the internet.
While the sender and the recipient both play an integral part in the communications process, unless the message is clear, the purpose of sending out the message in the first place is lost. The sender must make certain that the message can be understood. Otherwise, what is the point in sending the message?
If a sales letter is rambling, and confusing, no one will read it. If a post card campaign leaves the recipient wondering what the message is, the post card will likely get tossed in the garbage. If a brochure fails to outline the most important aspects of a business or service, time and money have been wasted in preparing it.
The fourth component in the communications process is the receiver. Whether the receiver reads or hears the message isn't as important as making sure the message conveys exactly what you want it to say. If you want the reader or listener to buy your service or product, your message must convince them why they should give you their business. They must feel that their time and money will be well-spent with you.
There are no second chances to make a first impression. Make sure your business communications deliver your message to your intended target market.
